Exhibiting with MLA

The Missouri Library Association (MLA) annual conference is an outstanding way to contract both new and extablished customers in the library community. More than 400 individuals from Missouri's public, academic, school, and special libraries attended MLA's 2017 conference.  Detailed here are the opportunities to rent booth space in the Exhibit Hall, sponsor events, advertise in the conference program, and more.

The 2018 Missouri Library Association conference is being held in the centrally-located city of Columbia at the holiday Inn Executive Center.  From either the St. Louis or kansas City airports, Columbia is a 2-hour drive on I-70.  Alternatively, the Columbia Regional Airport is just 19 miles from the conference location.  There are 63 booths available, which will be assigned on a first-come, first-served basis.


Booth Information

  • Affordable booth space rental fees
    • A 10 x 10 space is $550.00 for early registrants/$650.00 regular registrants (Discount available for non-profit organizations)
    • Booth space includes
      • 6-foot skirted display table
      • 8-foot back wall and 3-foot side drape
      • 2 chairs, wastebasket
      • 1 professional vendor name sign (8”x 36”)
  • Booth rental includes free conference registration for 2 representatives.
  • Vendors will be provided with multiple drink and meal opportunities to talk with conference attendees.
  • Extra booth amenities and electrical services are available from the Holiday Inn Executive Center for additional fees. Please see the Exhibitor Order Form for Additional Booth Amentities & Electrical Service details.
  • Internet access is complimentary. However, with the number of guests and vendors present, usage speed will likely be slow. If you are dependent upon internet access, direct lines are available for purchase at the cost of $150 per day.

For maximum vendor benefit, the following activities are planned:

  • Vendor Reception on October 10 (no-conflict)
  • Vendor/All Conference Breakfast on October 11 (no-conflict)
  • Table Talks located in exhibit area
  • Multiple sponsorship opportunities

Advertising Opportunities

The MLA Conference program is a great way to highlight your company’s services and products during the event and afterwards. The printed program is handed out to each attendee and used throughout the conference and long after as a reference tool.

Exhibitor Drawing

Consider donating to the door prize event to be held on Thursday afternoon during a no-conflict, all-conference break. It is a fun and easy way to draw attendees to your booth. All attendees will be given a list of conference vendors, and will be given tickets for the drawing based on the number of vendors they visit.

Have pens, notepads, or other items with your company logo? Consider donating small marketing items to include in bags all attendees receive at registration.

Conference Bags                                                      $1,000.00

Have your black-and-white logo printed on conference bags distributed at check-in to all attendees and used throughout the duration of the conference.


Vendor Reception                                              $750.00

Held in conjunction with the exhibit hall opening on Wednesday, October 10, this is the most well-attended, no-conflict period of the conference. Attendees gather to socialize with vendors and see what’s new and exciting. Complimentary beverages and hors d’oeuvres will be provided.


Awards Reception                                               $500.00

Held on the evening of Thursday, October 11, MLA members gather at this event to honor the significant achievements of Missouri libraries, Missouri authors, individual librarians, legislators who have supported library services, writers, trustees, and friends. Please help us celebrate those who excel at their profession and who support libraries by sponsoring the Awards dinner (Two sponsorships available).


Keynote Speakers                                              $500.00

Opening and Closing keynote speakers will share about the diversity in library services and the place of libraries in our society. On Wednesday afternoon, October 10, Conference attendees will gather to hear from opening keynote speaker, Dr. Kevin McDonald. Dr. McDonald is the University of Missouri System’s Chief Diversity, Equity, and Inclusion officer, and the University of Missouri’s Vice Chancellor for Inclusion, Diversity, and Equity. At noon on Friday, October 12, Loida Garcia-Febo will wrap up the conference as the closing keynote speaker. Ms. Garcia-Febo is President of the American Library Association, and is an international library consultant, research, and expert on topics such as human rights, advocacy, and services to multicultural populations (Two sponsorships available).


MACRL Lunch                                                      $300.00

On Thursday, October 11, one of the most active divisions of MLA, the Missouri Association of College and Research Libraries division, will gather for lunch.


Youth Services Author Luncheon                   $300.00

The popular, very well-attended Thusnelda Schmidt lunch will be held on Thursday, October 11. This event brings together the who’s who in children’s services to celebrate their very special niche in the library industry.

Young Adult Division Breakfast                      $300.00

On Friday October 12, youth services librarians will gather to dine and discuss issues in youth services librarianship and celebrate a guest speaker from Young Adult literature.


Conference Break                                              $250.00

On Thursday October 11, attendees will gather for light refreshments and vendor drawings. Held in the exhibit hall, this break draws in large crowds (One break is available for sponsorship).


New Member Meet and Greet                       $150.00

New and long-standing MLA members will gather to get an overview of the association and the various roles they can play within the organization. An active association is a healthy association, and we strive to continue to grow our base of volunteers and members.


Vendor Recognition Table Signage
During All-Conference Breakfast                 $100.00

This breakfast will be held at 8 a.m. on Thursday, October 11. With sponsorship, a vendor will receive a reserved seat at a table with signage in order to interact with attendees. Additionally, vendors will have the opportunity to address all breakfast attendees for 2-3 minutes during the second half of the breakfast hour (Limited to 8 vendors).


Bohley Scholarship

The Ronald G. Bohley Scholarship is sponsored by the Professionalism, Education, Employment, and Recruitment Community of Interest (PEER) and is awarded annually to an individual enrolled in or recently accepted into an ALA-accredited program in pursuit of a Master's degree in Library/Information Science. Preference is given to Missouri residents or students. Each year a raffle is held at the MLA Conference to raise funds for the scholarship. Donations (Raffle baskets, gift cards, membership opportunities, etc.) can be sent to Kimberly Moeller (173 Ellis Library, Columbia, MO 65201) or dropped off at the Hospitality Desk when you arrive at the conference. Please consider a donation.

Registration Information

General registration begins March 23, 2018, and the early bird registration deadline is July 25, 2018.

  • General registration closes August 31, 2018.
  • MLA will assign booth spaces in the order that they are purchased.

Exhibitors may not sublet or apportion booth space to any other business. Parent and subsidiary businesses are not considered other businesses. Contractors are other businesses require their own booth space.

Exhibits should not project beyond the space allotted and should not obstruct the view or interfere with traffic to other exhibits. The wings of an exhibit should not project more than three (3) feet from the back wall. Permission to exhibit equipment with abnormal heights must be obtained from MLA.

If you are only able to exhibit for one day, please let us know. We will place your booth in a location that is most convenient for everyone.

Cancellations made in writing and postmarked prior to June 15, 2018 are subject to a 50% cancellation fee. No refunds will be made following June 15, 2018. All cancellations are final. MLA may resell cancelled booths as opportunities allow. No refunds shall be paid as a result of subsequent booth sales.
